# Smartlead alternatives, sorted by *why you are leaving*

Unlimited mailboxes is the reason to buy it. The API not being on the entry plan is why people look. 4 replacements below, each one matched to a specific reason rather than ranked on a score nobody can audit.

Prices and limits for every option below are read off the vendor's own page. These are the Smartlead competitors that answer a named problem, not a field of logos.

## The 4 reasons people actually leave

If none of these is your situation, the honest answer is that you should probably stay, and the [Smartlead API review](https://frontal.so/gtm-apis/sending-apis/smartlead-api-review) covers what you already have. The 26 providers these replacements are drawn from are in the [Sending APIs](https://frontal.so/gtm-apis/sending-apis) listing.

### 1 · Base has no API and no webhooks

Smartlead states plainly that API access starts at Pro. The $39 Base plan carries unlimited email accounts, 6,000 sends and 2,000 contacts, and no programmatic access at all, so the real entry price for anything automated is $94 a month rather than $39.

### 2 · Three separate counters to track

Stored contacts, emails sent and verified prospect emails are three different allowances that run down independently. A campaign can be inside its send limit and blocked on contact storage, and the verified prospect emails are a $59 a month add-on on Base and Pro before they are included at all.

### 3 · 60 requests a minute is modest

The documented rate limit is 60 a minute, raised on request. Against Instantly's 100 a second that is two orders of magnitude apart, which only matters for a bulk sync but matters a lot when it does.

### 4 · The add-ons mount up

Private infrastructure is $39 a month per server, client workspaces are $29 a month each, and verified prospect emails are $59 until the Unlimited tiers. An agency configuration can cost noticeably more than the headline plan.

In detail

## The case for each one

Each one below is matched to a reason rather than scored, and each one names what you give up by taking it. A replacement with no downside is a replacement nobody has actually run.

### [Visit Instantly](https://go.frontal.so/instantly) Instantly

The direct like-for-like: unlimited email accounts and warmup from $47 a month, with the API on every plan rather than from the second tier.

This page exists because Smartlead's Base plan at $39 carries no API and no webhooks, so a programmatic build starts at $94. [Instantly](https://frontal.so/gtm-apis/sending-apis/instantly-api-review)'s halves are $47 each with the API available, which is the straightest answer to that complaint.

The Outreach half at $47 gives unlimited email accounts and unlimited warmup with 5,000 emails a month; the Credits half at $47 adds a 450M contact database and waterfall enrichment. The Starter bundle is $94 for both.

The rate limit is a plain 100 requests a second per workspace, which is simpler than designing around tiers.

#### What you give up

Webhook depth and the contact ceiling. Smartlead's webhooks fire on every event, which is what makes replies drive your own systems, and Instantly's uploaded-contact ceilings are tight: 1,000 contacts on the $47 Outreach tier against 5,000 emails.

#### When it is the wrong answer

Teams running large lists. The contact ceiling, not the email ceiling, is what moves you up Instantly's tiers, and that catches people out.

Entry $47/mo. No free tier. Outreach and Credits are sold separately from $47 each.. Instantly splits the product in two and sells each half on its own: an Outreach plan with unlimited email accounts and unlimited warmup from $47 a month, and a Credits plan for the 450M contact database and waterfall enrichment. ### [Visit Apollo](https://go.frontal.so/apollo) Apollo API

Sequencing bundled with search and enrichment on one $49 seat, with API access on a free plan. The move if you were buying data separately anyway.

If you pair Smartlead with a separate data vendor, [Apollo](https://frontal.so/gtm-apis/enrichment-apis/apollo-api-review) collapses both into one $49 seat: search, enrichment, sequencing and CRM write-back on a single credit balance, with the sequence and task endpoints costing nothing to call.

There is a free plan with full API access at 900 credits a seat a year, so the integration can be built before anything is bought, and an MCP server at mcp.apollo.io/mcp.

Credits are granted per seat per year, 30,000 on Basic, so the monthly figure is 2,500 and scaling means buying seats.

#### What you give up

Sending infrastructure and deliverability control. Apollo sequences from a modest number of mailboxes and does not do unlimited mailboxes, warmup pools or per-event webhooks.

#### When it is the wrong answer

Agencies and anyone running volume across many domains. The whole reason to buy Smartlead is the sending infrastructure, and this does not replace it.

Entry $49/seat/mo. Free plan with API access, 900 credits per seat per year granted monthly, so 75 a month. One of the few providers here that covers sourcing, enrichment and sending behind a single key, which is why it is usually the first API a GTM team wires up and the last one they rip out. ### Salesloft

The enterprise end of the same job, with a well documented cost-per-minute API. No published price, so expect a sales conversation.

[Salesloft](https://frontal.so/gtm-apis/sending-apis/salesloft-api-review) is the version of this bought by a sales organization rather than by an operator: forecasting, conversation intelligence and a defined process, with sequencing inside it.

The API documentation is unusually precise for a quote-only vendor. The budget is 600 cost a minute per integrated team, shared across every integration on that team, with a published cost per endpoint.

The number to design around is deep paging: a request past page 500 costs 30 of your 600 rather than 1, so a naive backfill exhausts the team's budget in a couple of minutes.

#### What you give up

Transparency and the volume economics. There is no published price, the pricing page is a form, and Salesloft states that it can change the cost of an existing endpoint at any time.

#### When it is the wrong answer

Anyone who chose Smartlead for unlimited mailboxes at a published price. This is a different category of purchase with a different buyer.

Entry Quote only. No free tier and no published price.. Salesloft publishes no price and documents its rate limit better than almost anyone here. [Read the review](https://frontal.so/gtm-apis/sending-apis/salesloft-api-review)

### HubSpot API

If sequencing really belongs next to the CRM, [HubSpot](https://frontal.so/gtm-apis/crm-apis/hubspot-api-review) does both and includes API access on a genuinely free tier.

Some Smartlead spend is really the cost of keeping a sequencer in step with a CRM. One product that does both removes the integration instead of replacing one end of it.

HubSpot's free tier carries full CRM object access over REST, so the whole thing can be built and run before anything is bought, and paid starts at $20 a seat. There are two official MCP servers.

The limit is a rate rather than a budget: 100 requests per 10 seconds on Free and Starter, 190 on Professional, with a daily cap shared across every connected app.

#### What you give up

Deliverability engineering. HubSpot is not built to run cold email across dozens of domains with warmup on every inbox, and the mailbox economics that make Smartlead worth buying have no equivalent here.

#### When it is the wrong answer

Cold outbound at volume. If deliverability is a number somebody owns, this is a CRM with sequencing attached rather than sending infrastructure.

Entry Free tier. Free CRM including API access. Every enrichment pipeline eventually has to land somewhere a rep will look. [Read the review](https://frontal.so/gtm-apis/crm-apis/hubspot-api-review)

Plan by plan

## What you would actually pay, on each one

4 of the 5 providers here publish a rate card. Salesloft does not, and the entry price below is all it will tell you without a call. The plan you want is the one whose included volume covers a normal month for you, not the cheapest one on the page.

### Smartlead

Smartlead publishes 4 tiers, none of them free, and the paid ladder runs from $39 to $379.

### [Visit Apollo](https://go.frontal.so/apollo) Apollo API

Apollo API publishes 4 tiers, one of them free, and the paid ladder runs from $49 to $119.

#### Free

$0

900 credits a seat a year

- Full API access, not a trial of it
- Granted monthly, so 75 credits a month in practice
- 2 sequences and basic filters

#### Basic

$49

/seat/mo billed annually, 30,000 credits a seat a year

- US$588 a seat a year, credits granted upfront and pooled across the team
- 2,500 credits a month, at $0.0196 each
- Annual billing saves 24% against paying monthly

#### Professional

$79

/seat/mo billed annually, 48,000 credits a seat a year

- 4,000 credits a month, at $0.0198 each
- AI lead scoring and multi-touch outreach

#### Organization

$119

/seat/mo billed annually, minimum 3 seats

- 72,000 credits a seat a year, so 6,000 a month
- $0.0198 a credit, so the rate is flat across every paid tier
- The three-seat minimum makes US$357 a month the real floor

### Salesloft

Salesloft publishes no price at all, so there is no rate card to put here. Everything is quoted, which means the number you get depends on what you ask for and on where in their quarter you ask it.

Get these in writing before you sign: the per-unit rate at your volume, the annual minimum, how many seats that price assumes, whether API access is included or an add-on. Without the first two you cannot compare this against anything else on this page.

### HubSpot API

HubSpot API publishes 4 tiers, one of them free, and the paid ladder runs from $20 to Quote.

#### Free

$0

up to 2 users

- Full CRM object access over the API
- Free Marketing, Sales, Service, Content, Data and Revenue tools
- 100 calls per 10s, 250,000 a day
- No credit card required

#### Starter

$20

/seat/mo

- Same API, same limits as Free
- 500 HubSpot Credits included
- 1,000 marketing contacts
- From $7/seat/mo on the current new-customer offer

#### Professional

Quote

not on the CRM pricing page

- 190 calls per 10s per app
- 625,000 calls a day per account
- Where the limit increase starts to matter

#### Enterprise

Quote

not on the CRM pricing page

- 190 calls per 10s per app
- 1,000,000 calls a day per account
- Highest published daily ceiling

Read the included volume before the headline price. A plan that costs twice as much and carries five times the credits is the cheaper plan, and on this page that is the usual case rather than the exception.

Cost model

## What each one costs at your volume

Smartlead first, then every replacement. The model picks the cheapest published plan that covers your volume on each one, which is the comparison a row of entry prices cannot make.

### Smartlead

Priced on the volume you use, so the plan that covers a normal month is the one that decides the bill.

Monthly **Quoted**

Twelve months **Quoted**

### HubSpot API

Priced per seat, so the bill moves with headcount rather than with volume.

Cheapest seat with the API **Starter**

Per seat **$20 a month**

Monthly **$60 for 3 seats**

Twelve months **$720**

Plans are read from each vendor's own pricing page and the model picks the cheapest one that covers you, so these are list prices before any discount you negotiate and before annual billing, which most of these vendors discount. Salesloft publishes no price, so nothing is modeled there and the panel says what to ask for instead.

Twelve months

## What a year costs at three volumes

The same plan-fit arithmetic as the model above, run out to a year, because an annual number is what a budget actually asks for. HubSpot API is priced per seat, so that column does not move with volume. The figure shown is 3 seats for a year.

| A year at | Smartlead | Instantly | Apollo API | Salesloft | HubSpot API |
| --- | --- | --- | --- | --- | --- |
| 1,000 a month | $1,128 Pro | $564 Outreach only | $588 Basic | Quoted | $720 Starter |
| 10,000 a month | $1,128 Pro | $2,328 Scale bundle | $2,352 Basic | Quoted | $720 Starter |
| 50,000 a month | $1,128 Pro | $2,328 Scale bundle | $11,760 Basic | Quoted | $720 Starter |

4 of the 5 providers here publish enough to be put in this table. These are list prices on the published plan that covers each volume, so they are the number before you negotiate and before annual billing, which most of these vendors discount by between a fifth and a half.

Decide

## Which replacement is yours

Answer what matters most and the lean appears below. Every option is read from the records on this page, and staying on Smartlead is one of the possible answers.

What matters most on the thing you are replacing?

What does your finance team want to see?

Have you measured what you have today?

Answer the questions above

Each answer leans one way. The recommendation appears here once you have picked at least two.

A tool like this can only weigh what is on the page. It does not know your segment, and the one test that does is the bake-off further down: real rows, cheapest entry on each side, spend divided by survivors.

Where an answer leans on a certification or an integration, it means that vendor publishes it on the pages this directory read, which is not the same as the other one lacking it. The sources are listed at the foot of the page.

Provenance

## Where the data comes from, and what you may do with it

The question that arrives late and expensively is not how good the data is, it is who is allowed to hold it. A migration is the moment to check it, because you are signing a new contract anyway.

| Provider | Fields returned | Coverage | Compliance | Redistribution |
| --- | --- | --- | --- | --- |
| [Smartlead](https://frontal.so/gtm-apis/sending-apis/smartlead-api-review) | Work email, CRM records | Global | GDPR DPA SOC 2 Type II | Not stated |
| [Instantly](https://frontal.so/gtm-apis/sending-apis/instantly-api-review) | Work email, Firmographics, Job postings, Intent and news | Global | GDPR DPA | Not stated |
| [Apollo API](https://frontal.so/gtm-apis/enrichment-apis/apollo-api-review) | Work email, Mobile phone, Firmographics, Technographics, Job postings, Intent and news, LinkedIn profile, CRM records | Global | GDPR DPA SOC 2 Type II CCPA | Not stated |
| [Salesloft](https://frontal.so/gtm-apis/sending-apis/salesloft-api-review) | CRM records, Work email, Job changes | Global | GDPR DPA SOC 2 Type II | Not stated |
| [HubSpot API](https://frontal.so/gtm-apis/crm-apis/hubspot-api-review) | CRM records, Work email, Firmographics | Global | GDPR DPA SOC 2 Type II CCPA | Not stated |

None of these states a redistribution position on its pricing or docs pages. Internally that never matters. Put the rows in something your customers can see and it becomes the question your legal team asks first.

Two practical notes that apply to every provider on this page. A compliance badge describes the vendor, not your use of it, so a GDPR DPA does not give you a lawful basis for the outreach you send. And every one of these vendors runs its own opt-out, which means a person who asks you to delete their record has to be removed from your copy as well as from theirs.

Migration

## Moving off Smartlead

Written against Instantly, the first pick above, because the steps are the same whichever one you take and the specifics are what make them useful. Swap the name and the order still holds.

01

### Measure the thing you are about to lose

Run 500 rows you already have through Smartlead and record the match rate, the fields that came back populated and the cost. Without that number a migration cannot be judged, because every provider looks cheaper per unit than the one you are paying for today.

02

### Check the fields, not the field count

Instantly does not return CRM records, which Smartlead does. If anything downstream reads crm records, that is a change to your pipeline and not just to your vendor.

03

### Rewrite the auth and the limits, in that order

Smartlead authenticates with API key as a query parameter. Instantly uses bearer token, from a scoped API v2 key in workspace settings.

The limits are the part that bites later. Smartlead rate: 60 req/min and 1,000/hour per key, 120 and 3,000 on Pro. Three endpoints capped at 10 a minute on top.

Instantly rate: 100 req/s and 6,000/min, shared across v1, v2 and every key in the workspace. A loop tuned to the first will either crawl or get throttled on the second.

04

### Run both for one billing cycle

Keep the old key live and route a slice of real traffic to the new one. A month is the shortest honest test, because credit expiry, rollover and the overage rate only show up at renewal and those are where the surprises live.

05

### Cancel on the renewal date, not before

Credits on most of these plans do not survive a downgrade. Check what happens to the balance you have already paid for, and time the switch so you are not buying the same records twice.

The step people skip is the first one, and it is the only one that cannot be done after the fact. Once the old key is off you have nothing to compare the new match rate against, so a provider that is quietly worse on your segment looks like a provider that is fine.

The one part of this page that is not a vendor claim. These are people describing Smartlead in their own words, transcribed as written and linked to the thread, and nothing here is the only source for a figure in the tables above.

### The sending tool is not what decides deliverability

> To be clear, instantly Apollo and smartleads are all just front end management tools for campaign, lead list, and sending triggering through any API/SMTP servers (like Gmail, M365, sendgrid, SES, etc.) and they shouldn't have a direct effect on deliverability. Your email copy, leads, and sending patterns/volume are what matters the most

[r/Emailmarketing](https://www.reddit.com/r/Emailmarketing/comments/1dcuzeb/smartleadai_and_b2b_emails/) · June 2024 · 5 points

The most useful correction on this page, and it applies to every sending provider in the directory rather than to Smartlead alone. These products schedule, rotate and report; the mail still leaves through Google, Microsoft or an SMTP relay, and the things that decide placement are the domain, the authentication, the list and the volume curve.

What that means for a comparison like this one is that the feature lists are not where the difference lives. Compare the mailbox economics, the webhook surface and what the API lets you automate, because those are the parts the vendor actually controls.

## What practitioners say about Apollo

The one part of this page that is not a vendor claim. The comment below makes its point in crude words, so we summarize it in our own words and link the thread. A Reddit claim is a signal rather than a fact, so nothing here is the only source for a figure on this page.

### The rate limit, not the credit price, is what people actually hit

**In our words:** A practitioner building on the API says the rate limits are what their team hit, that they got past them by routing requests across three Apollo accounts, and that Apollo charges per request even when a lookup returns nothing.

[r/gtmengineering](https://www.reddit.com/r/gtmengineering/comments/1toiu1u/apollo_api_limits/) · May 2026 · summarized rather than quoted

Two halves worth separating. The limit is real and it is on this page: 200 requests a minute and 2,000 a day on Basic, with enrichment on a separate 1,000 a minute and no daily cap, which is why a bulk job and a per-row loop feel like different products.

The charge-on-no-output half needs care, because Apollo publishes 0 credits when nothing is found and that matches what we read. What a miss does spend is a request against the rate limit, and when the limit is the binding constraint that is the cost you feel. Pooling accounts to get round a published limit is a terms question before it is an engineering one.

### The per-app rate limit is why people end up running several private apps

> API limits are not being respected or the sync isn't really set up in a way that someone with knowledge of the api. They may not be using a queue system. They haven't optimized and paid attention to api limits. \[...\] This may need to be done using multiple private app keys because you are hitting specific limits. \[...\] If these updates are happening all at once, batch and import/export APIs are the way to go

[r/hubspot](https://www.reddit.com/r/hubspot/comments/1k2bpas/how_stable_is_hubspot_api_for_large_volume_of/) · April 2025 · 2 points

This corroborates the shape of HubSpot's limits rather than the numbers. The rate, 100 requests per 10 seconds on Free and Starter and 190 on Professional, is per app, which is exactly why splitting work across several private apps raises throughput at all.

The part that is easy to miss is that the daily cap is not per app, so the same trick does nothing for it. Splitting a sync across three private apps triples the requests a second you can make and shares one daily budget between them, which is a fix for the wrong half of the problem if the daily cap is what you were hitting.

Verdict

## Should you actually switch?

Smartlead is excellent at the thing it is for, and the question is almost always whether you need the API on the cheap plan. If you are running campaigns from the interface, Base at $39 with unlimited mailboxes is strong value and nothing here beats it. If you are building, compare Pro at $94 against Instantly at $47, because that is the honest pairing: both give unlimited email accounts, and only one puts the API on the entry tier. Smartlead Pro earns the difference once volume is real, at 90,000 sends and 30,000 contacts against Instantly Growth's 5,000 and 1,000, so the crossover is a question of scale rather than preference. Work out your monthly sends first and the answer usually falls out.

Before you migrate anything

Sending reputation does not transfer, so the migration is a warm-up schedule rather than an export. Confirm the API is on the plan you intend to buy, move one domain first and run it alongside the old sender for two weeks, and compare reply rate on the same list. Moving everything at once is how a working domain gets burned.

FAQ

## Switching from Smartlead, answered

**What is the best Smartlead alternative?**

It depends on why you are leaving, which is how this page is organized rather than ranked. The replacement most teams land on is Instantly, which this directory lists as the best for unlimited mailboxes and warmup, at $47/mo. The case for it, and what you give up, is in the section above.

**Is there a free alternative to Smartlead?**

Apollo (Free plan with API access, 900 credits per seat per year granted monthly, so 75 a month) and HubSpot (Free CRM including API access).

**What is the cheapest Smartlead alternative?**

On the entry plan, HubSpot: free, against Smartlead at $39/mo. Entry price is not the same as cost per result, so check the unit figure on each review before deciding.

**How were these alternatives chosen?**

By the reason teams leave, not by a score. The page opens with the reasons teams leave and matches a replacement to each one.
